An appointment letter (नियुक्ति पत्र) is what an employer issues when someone is hired: it confirms the post, the joining date, the salary and the conditions of service, and the employee signs a copy to accept. The Labour Act 2074 expects the terms of employment to be in writing, and for most offices, schools and shops in Nepal this letter is where they are written.

What an appointment letter must state
Who is appointed, and to what. The employee's name and address, the position, the department and the kind of employment — regular, time-bound, work-based, casual or part-time.
From when and where. The joining date and the place of work.
Pay. Basic salary and allowances shown separately, and the monthly total. It may not be below the minimum salary in Nepal.
Probation and notice. The Labour Act allows a probation period of up to six months.
Terms. Working hours, leave, provident fund, gratuity and Social Security Fund, confidentiality and the organisation's rules. The template's terms follow the Act and can be edited.
Signatures. The authorised person signs and stamps; the employee signs the acceptance at the foot.
Appointment letter, offer letter and employment contract
The job offer letter comes first: it proposes the job and can be declined or lapse.
The appointment letter follows acceptance and is the employer's formal confirmation.
An employment contract is a longer agreement signed by both sides with witnesses. Larger organisations issue both; smaller ones rely on the appointment letter.
For schools and teachers
A private school's appointment letter should also state the level and subjects, the number of periods, and whether salary is paid for all twelve months. Teacher salary in Nepal gives the government scale private schools are required to match.

Common questions
What is the format of an appointment letter in Nepal?
Letterhead, reference number and date, the employee's name and address, a subject line, a paragraph appointing them to the post from a stated date, the salary, probation and notice period, the terms of service, and the signatures of the employer and the employee.
How do I write an appointment letter in Nepali?
Choose Nepali as the document language. The letter prints as नियुक्ति पत्र with the subject, the appointing paragraph and the section headings in Nepali; the terms can be typed in either language.
Is an appointment letter compulsory in Nepal?
The Labour Act 2074 requires the terms of employment to be set out in writing for all but casual work. An appointment letter that states the post, pay and conditions is the usual way of doing that.
What is the probation period in an appointment letter?
Up to six months under the Labour Act 2074. The letter should state the period and that the appointment is confirmed on its completion.
Can I download the appointment letter in Word format?
Yes, as an editable Word file or a print-ready PDF. A filled-in sample in both formats is on this page.
Is my information sent anywhere?
No. Everything stays in your browser. Nothing is uploaded, and there is no account unless you make one to sync your work across devices.
